Terms and Conditions / Site Rules
 
Before confirming your booking at Fell Hill Pods please take time to read the information below.  It includes vital information regarding cancellation policies and the amenities and services at the site, which will assist you with planning your holiday. 
When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed in writing via a letter of confirmation sent to you by post or email.


Group Bookings

We do not accept hen or stag parties. All Male or female booking will be considered at the point of inquiry. Fellhill Pods reserve the right to refuse a booking of all male of all female guests if so. All accepted group booking may be required to pay a breakage deposit of £100.00 per pod if deemed necessary by Fellhill Pods at the point of booking which will be refunded within 10 days of departure.

Payment Policy
To secure your booking a £50.00 non-refundable deposit is required at the time of the booking. The remainder of the cost must be paid no later than 6 weeks before your arrival. If you do not pay your deposit you may loose you booking
Travel Insurance
We strongly advise you to take out the appropriate travel insurance so you can have peace of mind that your costs will be covered, should you need to cancel your holiday for any reason.

Parking
There is designated parking next to the pods for one car only 
Smoking
There is absolutely no smoking permitted in the Pods, smoking is allowed outside the front of the pods away from the door. Do not smoke anywhere near the gas tank
BBQ’s
(Camp fires and guest’s own BBQ’s are not permitted on site).  Gas BBQ’s can be hired and must be used in the designated areas.  We reserve the right not to permit due to adverse weather conditions.

Dogs
All dogs are welcome (maximum of two) but Must be kept on a lead and under control at all times.  Pets must not be left unaccompanied in the property at any time and must not be allowed on the beds or furniture. The holidaymaker shall be liable for all damage caused by his/her pet or any pet belonging to the holidaymaker's party. A charge will be made for any additional cleaning required. The property owner cannot be held responsible for any accident or injury to a pet during their stay.  A dog waste disposal bin will be provided for all dog waste. Any dog found to be running free anywhere in the farm may result in the owners being asked to leave the site and forfeit the remainder of the holiday. If we find owners not picking up after their dogs, there may be a fine incurred by the owner.



Number of Guests

The maximum number of people entitled to stay at this property is 4 people and furthermore, only those people named on the booking form are entitled to stay. If it is found that more people than agreed are using the property, this will be considered a breach of contract and the holidaymaker and his/her party will be asked to leave immediately without any refund. Subletting or assignation of the let is prohibited

Arrival/Departure Procedures

Arrival and departure times updated
Arrival must be 1500 or later, no guests will be allowed in before 1500
Departure, all guests must vacate the property by 1030 to allow for deep cleaning of the pod. Anyone still in there pod at 1030 will be asked to leave. No acceptations allowed


All visitors must report to Farm house on arrival and you will be allocated the Pod, we will then show to your POD.  All guests are required to complete a registration card. You will also be given a leaflet on arrival stating emergency procedures and explaining restricted areas around the farm.
Check in time between: 1500hrs – 1800hrs
Check out: 1030hrs (Should there be no one around to return your key to, please put through the letterbox of the farm house).  
Late arrivals after 1800hrs must be arranged in advance.  We are unable to accept late check-ins after 2200hrs.  Late checkout must be arranged when arriving as there may be additional charges if this is not arranged. 
 
Complaints Procedure
If you have a problem with your accommodation during your stay please advise us and we resolve it as soon as possible.  Please let us know of any damage, breakages or maintenance issues that you come across.
We accept all comments from our guests seriously and in the unlikely event that you do wish to make a complaint please speak to the site owner or you can contact us by email and we will try to resolve any issues as soon as possible.

Code of Conduct
We expect all our guests to respect and look after the site and the cabin that you are staying in.  We also require you to respect your fellow guests and keep noise levels to a minimum after 21.00hrs.  We have a noise curfew between 21.00hrs and 06.30hrs. 
This is a working farm please do not feed the animal as this may harm them. Keep out of restricted areas of the farm (these will be marked with appropriate signage). Keep out of all fields when there is livestock grazing, failure to follow these instructions may result in serious injury to the person. From time to time there will be farm machinery driving through the farm, please keep away from these at all times. Where practicably possible guests will be informed in advance. There are working dogs on the farm, these will be restrained at all times, please do not approach these dogs as they may bite. There is a public foot path through the field directly in front of the farm house and this will be marked with the appropriate signage.

Children are the responsibility of the parents and must be supervised at all times. Children must not be allowed to wander around the farm on their own, any child found wandering around the farm will be returned to the parents.
  
Liability
The property owner takes no responsibility for the personal possessions of the holidaymaker or the holidaymaker's party. Vehicles and possessions are left entirely at the risk of the holidaymaker.
Cleaning

We would like to think the holidaymaker and party would treat the property as they would their own home and at the end of the holiday the property is left in a clean and tidy condition. The property owner retains the right to make an additional charge for cleaning should the property not be left in a similar condition to the way it was found at the start of the holiday.
Breakages

The holidaymaker should make every effort to keep the property, fixtures and fittings and all contents in the same state of repair and condition as at the start of the holiday. Any accidental dame or breakages should be reported to the property owner (or their representative) prior to departure. The property owner retains the right to make an additional charge for damage and breakages although it should be noted that minor breakages and reasonable wear and tear (in the opinion of the property owner) will not be charged for.
 
Cancellation by the Holidaymaker

Cancellation of the booking by the holidaymaker should be made in writing and addressed to:

In the event of a cancellation, we will attempt to re-let the property and if successful, a discretionary payment may be made. However, we strongly recommend you take out holiday cancellation insurance.

Cancellation by the Property Owner

Fellhill Pods will endeavor to make sure the stated property is available for the dates contracted. In the unlikely event the property becomes not available and the property owner has to cancel the booking, the property owner will endeavor to find the holidaymaker suitable alternative accommodation. If suitable alternative accommodation cannot be found, the holidaymaker shall be entitled to a full refund. The property owner shall only be liable to return the monies received. No compensation or consequential losses shall be paid.




 
Miscellaneous

whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made and some things do change. The holidaymaker accepts that no refunds are available for such discrepancies.

Fellhill Pods reserves the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.
Fellhill Pods reserves the right to access the pods and inspect the cabins at a reasonable time.
Should the pods be left in an unsatisfactory condition or have been deliberately damaged in any way we reserve the right to ask the holidaymaker and their party to leave the property, without refund we reserve the right to imply costs to cover the damage to the payment method on booking.

Fellhill Pods is entitled to ask the holidaymaker to leave the property without any refund if, in the property owner's opinion, the behavior of the holidaymaker and/or his/her party is unacceptable.

Fellhill Pods reserves the right to refuse entry to anyone, who in the property owner's opinion is not suitable to or capable of taking charge of the property.

Fellhill Pods reserves the right to ask the holidaymaker and their party to leave the property, without refund, should the behavior of the holidaymaker and/or their party be considered by the property owner to be unreasonable.

Refund Policy

All moneys owed will be refunded to your credit/debit card. The funds should appear on your bank statement within 3-5 working days (how long depends on your card issuer).

Fellhill Pods Rules and Disclaimer for using the Hot tub

  1. Do not allow children in the tub unsupervised.
  2. Do not allow Children under the age of 12 year use the hot tub
  3. Do not have any electrical objects near the hot tub.
  4. Do not consume alcohol whilst using the hot tub.
  5. Do not use the hot tub whilst under the influence of Drugs or Alcohol
  6. Do not use glasses of any description in the hot tub. Plastic glasses are suitable.
  7. Do not enter the hot tub with sharp objects
  8. Do not use the hot tub if you have an infectious disease.
  9. Do not enter the hot tub with clothes on, only wear suitable swimming attire.
  10. Do not enter the hot tub with footwear on or any other sharp objects.
  11. Do not allow animals near the hot tub
  12. Do not dive or jump into the hot tub.
  13. Do not sit on the sides of the hot tub
  14. Do not sit on the hot tub cover.
  15. Do not stand, sit or place anything on the motor housing.
  16. Do not use the hot tub if pregnant
  17. Do not use the hot tub after strenuous exercise

Other things you need to know!

  1. Using this hot tub is entirely at your own risk.
  2. Fellhill Pods will not be liable for accidents, injuries or death.
  3. Fellhill Pods will not be liable for any accidents relating to use of our hot hubs such as wet surfaces causing slip hazards, running or jumping in and around the spa.  
  4. Fellhill Pods prohibits the use of glass items within the hot tub and will not take responsibility for injury caused by glass breakages within or around the spa area.
  5. CHILDREN UNDER THE AGE OF 16 MUST BE SUPERVISED AT ALL TIMES.  
  6. Please enter the spa with safety in mind at all times, checking the temperature first.
  7. We will not be held responsible for any damages to your property while using the hot tub
  8. Do not interfere with the electrical supply to the hot tub, it must be left switched on at all times.
  9. You are responsible for making sure the hot tub cover is secured back on the tub when not in use. This will not only stop the spa losing heat but will keep the hot tub secure from accidents when not in use.
  10. Any damage caused to the hot tub will need to be paid
  11. No more than 4 adults in the hot tub at any one time.
  12. Limit the time spent when using your spa since long exposures at warm temperatures can cause high body temperature. Symptoms may include dizziness, nausea, fainting, drowsiness, and reduced awareness, resulting in possible drowning. Prolonged immersion in a spa may be hazardous to your health.
  13. Spa water temperature should never exceed 104°F (40°C). Temperatures between 100°F (38°C) and 104°F (40°C) are considered safe for healthy adults for up to twenty minutes. For young children, lower water temperatures are recommended. Check with your doctor.
  14. You are responsibility for all who use the hot tub that they are in sound medical health. Consult your physician before using your spa, especially if you suffer from heart disease, diabetes, high or low blood pressure, a condition needing medical treatment, pregnant women, infants or the elderly.
  15. If there are any problems with the hot tub, do not interfere with, please let Peter or Kathleen know.
